Clear Unstructured Data

Some examples of the application of rules with Allianza Discovery include the following:

An organisation has a set of business rules relating to document management that include the following: “All documents with the doc extension that have not been modified in 180 days should be moved to tape backup.”
This would be programmed as a simple weekly or daily Scheduled Task in Allianza Discovery.

An organisation has a large amount of unstructured data of indeterminate age and file type.
Following analysis of the file type distribution report, the information manager can develop policies for the management of unstructured data external to the document or records management system. Application of the cycle below will enable the manager to take control of unstructured data.

Reduce Storage Costs

Controlling unstructured data with Allianza Discovery will reduce storage costs in itself, but it also useful to be able to calculate the cost of the wasted space. This report is achieved as follows:

  • Allocate a cost/Gigabyte/month in the Agent configuration dialog for each machine on the network. This will include costs such as the hardware amortization, administration and support associated with a particular data storage machine or appliance.
  • Scan the network.
  • Assign file types and other parameters of data to be treated as wasted space such as aged files, runaway logs, temp files etc.
  • Run the wasted space report to obtain an absolute cost per month of the wasted space.

Monitoring User Compliance

Example: An organisation does not permit multimedia files of certain formats to be stored on the central file server.
Every Monday the system administrator runs a report on the file server scan. When the report is emailed to him, he can take appropriate action.
